What Your Shopping Says About Your Time Management

Standing in the middle of Best Buy at 2:00am on Black Friday, I couldn’t help but think of time management. Maybe it was the sleep deprivation, or a desperate attempt to occupy my mind with something other than the constant stream of shopping carts running into my ankles, but as I watched everyone around me pile heaps of electronics into their carts, I began to analyze their shopping strategies. By watching them shop, I realized I could also make a pretty good guess as to how they manage their time. What does your shopping strategy say about your productivity?

1. The Lost Puppies

A few people wandered around the store as if they were waiting for someone to point them in the right direction. They picked up an item, looked at it, started to put it in their cart, and then put it back down. These people have clearly never been Black Friday shopping before. It doesn’t work like that. As soon as you put it down, someone else takes it. Most of these people left the store empty handed.

Just like these shoppers didn’t cross any gifts off their shopping list with that strategy, they are unlikely to ever cross anything off their to-do lists either. Rather than tackling a big, important task, they start smaller, less-important tasks instead. These people are good at preparing to work, but not as skilled at actually beginning. Don’t let this happen to you! Pick your Meat, Vegetable, and Dessert priority tasks for the day and move forward. Preparation is great, but if it never leads to execution, your productivity will stall.

2. The Kid in the Candy Store

These shoppers can hardly contain their excitement. They haphazardly grab items off any shelf that says “sale.” They may have come into the store with an item in mind, but their carts are full by the time they reach it.

Whereas “sale” signs distract these shoppers from their shopping mission, Time Killers distract them in their time management. They may have had a productivity goal for the day, but they let Time Killers like Facebook, email, snacking, T.V. and texting distract them from their goals. Don’t let Time Killers throw you off track. Remove these distractions before they steal your focus.

3. The Planner

These people are a force to be reckoned with on Black Friday. They know exactly what they want and what time to show up in order to get it. They’ve mapped out the store in advance and go straight to their desired item without any detours. They get in and out of the store as quickly as possible, leaving the other shoppers to fight over the scraps.

This is the kind of laser-like focus that also achieves success in time management. It’s important to know your priorities for the day and don’t let Time Killers, or other tasks on your list distract you. By getting the task done quickly and efficiently, you have time left over for relaxation without the stress of your impending workload. This kind of focus takes discipline, but it pays off.

Why, Hello Motivation!

Have you ever been suddenly motivated to complete a task that isn’t on the top of your priority list for the day? In a perfect world, we’d always be motivated to complete the most pressing task of the moment, but we know that’s hardly ever the case. We are all well-versed in the process of trying to dig up motivation to start a dreaded task, but what happens when we suddenly find that motivation at the wrong time?

My Sudden Motivation

I hate cleaning. I know I’d be hard-pressed to find someone who truly loves the chore, but I feel as though I have a particularly difficult time motivating myself to throw out my useless clutter. You can imagine my shock when I woke up this morning thinking, “I really want to clean out the garage today.”

Here is my problem: cleaning the garage was not terribly high on the priority list. I have a few big projects to wrap up before Thanksgiving weekend and I had a productive day planned to make progress on all of them. As I sat down to work though, I couldn’t shake the feeling that I should really pounce on my sudden motivation to organize.

Do I choose the more “important” task that I have no problem motivating myself to do, or the less important task that I usually dread?

After careful contemplation, I chose the latter.

The Right Decision

For three hours this afternoon, I sorted, threw away, cleaned, stacked, shredded, etc… I was definitely on a roll. As the third hour came to a close, a sudden feeling of frustration came over me. “I kind of hate this,” I said out loud. As quickly as it had come, my motivation was now gone. It was at that moment I realized I had made the right decision for the day.

Finding an extra hour or two over the next few days to squeeze in a little more work would be easy. Waiting for cleaning motivation to strike again could be endless. With just a few short hours of work, I could now walk into my garage without bumping into things. If I hadn’t been motivated, that could have easily taken the whole day.

Your Turn

Sometimes it’s best to do the task you are most motivated to do. You work most efficiently when you’re motivated and motivation is hard to conjure up. Notice I didn’t say it’s always best to make this decision. If I had a huge deadline coming up tomorrow, my cleaning crusade would have had to wait. Will you choose motivation or importance this week? Can you find a balance?

The Side Streets of Time Management

Have you ever been traveling with a friend who is convinced he has a faster way to get to your destination? It’s usually a little-known side street or back road. These side streets can either shorten your journey…or waste a tremendous amount of your time after getting you lost.

We run across similar shortcuts in our time management.  Before you take a time management shortcut (such as skipping or shortening a step in a process), ask yourself the following questions:

1. Do I Have Enough Experience?

Let’s pretend that you’re on your way to a new destination and two people suggest a shortcut. One of those people has never traveled the road before, while the other travels it frequently. Whose advice are you more likely to take? Experience is crucial when deciding which steps to remove from a process. If you’ve never completed a certain task before, it’s a good idea to follow all of the steps in detail, even if you think they might waste your time. As a novice, you don’t know the consequences of removing a step.

2. Am I Just Being Lazy?

If we’re looking for tasks to cut out of a process, we’re most likely to turn to the most tedious and annoying tasks first. It’s important to determine if those tasks truly aren’t necessary, or if you just don’t feel like doing them.

To use a simple example, I was making “For Rent” signs for our rental property the other day. At first, I was marking out the word placement in pencil before inking the final letters in marker. Pretty soon, I got lazy and stopped my pencil layout…only to discover that now my posters were crooked. I cut out the intermediary step not because it was unnecessary, but because I didn’t feel like doing it.

3. Will This Shortcut Make More Work Later?

Sometimes what seems like a shortcut now, in reality, just makes more work for ourselves later. Remember: later always gets here eventually. It’s much faster to do a small, annoying task now, than let those small tasks pile up. Procrastination is the enemy of time management. A shortcut is only truly a shortcut if it saves time, not if it just puts off work until later.

Time Management? That’s Debatable

“That’s ridiculous” “You don’t know what you’re talking about” “That’s just not true.”

These could be statements from one of the recent Presidential debates, but you might also recognize them from the internal time management debate we have in our heads all the time. When we don’t want to do something, our responsible side says we need to do it anyway, and our inner procrastinator says to do it later. Consider the following when you’re trapped in a time management debate.

 1.  You Never Regret Productivity

Think about it like this, when we convince ourselves to tackle something now instead of putting it off, we rarely ever say, “Gosh, I really wish I hadn’t done that.” However, when we choose to procrastinate, we rarely say, “That was a wonderful decision.” Use this experience to your advantage.

2.  Imagine the Worst Case Scenario

Rather than think of the benefits of getting work done early, sometimes it’s more effective to think of the problems that come from procrastinating. Think of what the worst possible scenario could be if you put off your work. If that scenario sounds unappealing to you, start the task now to avoid it.

3. Find a Productivity Coach

It’s usually pretty easy to find people in our lives who will encourage and enable us to procrastinate, however, it’s important to find that one friend or colleague who instead tells you to snap to your senses and just start your work. Think of this friend as your “Productivity Coach” who you can call when you are in need of some help in your time management debate. Sometimes just hearing another person weigh in can give your productive side enough of a boost to be victorious.

Stop Setting Yourself Up To Fail

“I’m just not that good at time management.” “I’m not an organized person.” “I’m a born procrastinator.”

These are some of the things I’ve heard people say to account for missed deadlines or a lack of productivity. However, when we attribute our productivity failures to a seemingly unchangeable personal trait, we don’t leave ourselves much opportunity or hope for improvement.

In order to change our productivity trajectory, we must first realize that we have the ability to change it. Otherwise, all of the time management advice in the world doesn’t stand a chance of helping.

Analyze Your Effort

During my time teaching elementary school music, one of my students was almost pulled from my program due to failing math grades. I took him aside and said, “What’s the deal? I know you are a smart and motivated student, but your math teacher tells me you don’t put forth any effort on your math homework.” He replied, “Mrs. Schwartz. I’m bad at math. Why in the world would I waste my time trying when I know I’m bad at something?”

He was stuck in a perpetual cycle. He said he was bad at math, so he put forth little effort…which in turn, made him continue to get worse!

When we label ourselves a “bad time manager” we can’t help but try less. We all have our own strengths and weaknesses, and everyone will not be equally stellar at all tasks, but we must take an honest look at whether or not we mask a lack of effort with a label of failure. Instead of saying “I’m bad at time management” tweak your thinking to be, “Time management doesn’t come as easily to me, so I’m going to have to try harder than most to meet my deadlines.”

Change Your Strategy

“The definition of insanity is doing the same thing over and over again and expecting different results.” Few people would disagree with that famous quote, yet we often let ourselves get trapped in a perpetual cycle of failure anyway. If you’ve tried to manage your time with the same calendar, the same to-do list, and the same strategies for years and they aren’t working, then you’re long over due for a change! Some methods work better for different people. Perhaps the reason you haven’t found time management success is because you’re struggling to use a method that just doesn’t work for you. Try changing your approach instead of instantly labeling yourself a productivity failure.

Stop the Comparison

The quickest way to get stuck in a motivational rut is to compare yourself to others. Having role models is important, but there is a difference between a constructive admiration of someone’s ability, and a constant comparison of yourself to everyone around you. This leads to only seeing the good in others and only seeing the bad in ourselves.

We might beat ourselves up over the fact that our colleague always finishes projects three times faster than we do, or that a friend finds time to be involved in countless hobbies while we struggle to maintain one or two. What we might overlook is that same colleague may never spend time with her family or that friend may be cracking under the stress of all his obligations.

Don’t strive to be better at managing your obligations than others. Strive to be the best time manager you need to be to accomplish your goals.

Time Management Outside of 9 to 5

When we think about “time management,” it’s easy to associate the concept solely with work. After all, we often seek out time management advice as we’re searching for strategies to complete our work more efficiently, or achieve a more productive workday. However, looking at work in a vacuum, divorced from the rest of our lives, only paints half the picture of what it takes to achieve not only good time management skills, but life management skills as well.

Work Life and Personal Life

I’ve found that when I summon the self-discipline and planning skills to complete my work efficiently, other areas of my life benefit as well. I start eating better. I exercise more. I make more time for my friends and am more likely to dry the dishes on the counter than let them sit there for another day. It’s as though the progress I’ve made in my work life seeps into my personal life as well.

It begs the question: Does this concept work both ways?

If my work life feels scattered, but I manage to regain control of a messy house and a fast food habit, will those personal achievements translate into work achievements too?  I believe that, to a certain point, the answer is “yes.”

Self-Discipline

I believe that self-discipline is addicting and builds confidence. I believe that once you achieve a new “healthy” routine in one area of your life, it’s easier to achieve a similar routine in another area. Of course, this doesn’t mean you should expect to be a productivity fiend at work after one week of making it to the gym every morning. However, I think we too often ignore the relationship between the two.

This is what The Time Diet is all about and it’s why I never give a time management lecture or workshop without addressing the importance of a balanced life both in and outside of work.

Control?

Self-discipline is different than control. We can never control every aspect of our day. What we can do is have the self-discipline to plan in advance, stick to that plan the best we can, and utilize the resources available to us. Self-discipline is about staying on a path toward your goals, even when Time Killers viciously try to distract you.

Mind The Gap

When we take a look at our workday, it may seem as though our schedules are packed full. However, if we look closely, there are hidden pockets of untapped time that we let go to waste every day.

These unused moments are hiding in the gaps between our scheduled events. For example, if you have a conference call that ends at 11:30 and a lunch meeting that starts at noon. Or a 20-30 minute break between two classes. Our natural inclination is to look at that gap of time and think to ourselves, “That is too short to get anything major accomplished.”

Instead, we fritter away the time trying to tie up a few loose ends here and there. We may check our email, browse the internet, or make a phone call. We may be busy, but we are really just filling the time before our next big obligation begins and not being terribly productive.

How to Make Use of The Gap

1. Start a Big Task

The longer we put off big Meat tasks in our Time Diet, the more we build these tasks up in our head to take a long time. Pretty soon, we find ourselves saying, “I can’t possibly start that now. I’m going to need the whole afternoon!” Don’t think that you have to complete the whole task in one sitting. The next time you have a small chunk of available time, start a piece of a big Meat task! Even if you only have 20 minutes to devote to the cause, getting a jump start makes the task easier to come back to later.

2. Consult Your List

Keeping a written list of your goals for the day makes filling the gaps in your schedule much easier. If you find yourself with some unexpected down time, immediately consult the list. Transition times from one task to the next are when Time Killers are most likely to steal our attention. Don’t give yourself the opportunity to become distracted and get lost scrolling through Facebook or your inbox for 30 minutes without realizing it. Move swiftly to the next task on your list before your Time Killers have the opportunity to distract you.

3. Take a Break

Filling the gaps in your day doesn’t mean you have to work for every spare minute. If you find yourself with an extra 15-30 minutes between tasks, rather than trying to fill that time with busy work, take a purposeful break! Step outside and get some fresh air. Call a friend or family member to brighten your day. Our lives are so hectic and busy, that it’s easy to say we don’t have time for these Desserts in our Time Diet. Making use of the gaps in your day can help you find time you didn’t realize you had.

3 Tips to Work Productively From Home

Working from home initially sounds like a great plan. It provides for a flexible schedule, you save on gas money, and have more space to spread out. However, working from home can quickly turn into a time management disaster without strict discipline and planning. I’ve found  three tips that have saved my productivity from a rapid downward spiral.

This summer, I’m working from home. I have multiple book projects to put together, papers to write, and workshops to design. The prospect of having all summer to do this sounded great, until I remembered how incredibly distracting and difficult it can be to work at home. Everyone from college students to business professionals can surely relate. Here are three tips to keep your time management under control.

1) Don’t forget to have a weekend

When you work from home, there is no physical separation from your workspace and your “play” space. If you don’t give yourself defined work hours, you’ll end up melding your work time into your personal life and become frustrated and burned out. Don’t forget to give yourself a “Saturday” (even if you decide to take it mid-week.)

 2) Ignore your phone sometimes

Just because your cell phone rings, that doesn’t mean you have to answer it if you’re in the middle of something. When you’re at home, and have no boss looking over your shoulder, it’s easy to let little things distract you. While working at home, you must guard against Time Killers more than ever. If you catch yourself allowing something to distract you without your permission, stop. Ask yourself, “Would I be doing this right now if I were in an office?” Just because you have the ability to chat on your cell phone, surf the web, text a friend, or even wash the dishes in the sink, doesn’t mean you should. Save those things for non-work time.

 3) Leave the house

Ultimately, we go stir crazy if we try to spend all day in the house. We can’t take for granted that time spent with our colleagues provides much-needed enjoyment and social interaction. When we work from home, we have to replicate that by getting out of the house once in a while. Go work in a library, coffee shop, park, etc…Anywhere to be around other people and get out of your home office. Seek out others in your profession to brainstorm and collaborate. It will make you more productive and save your sanity.

3 Reasons My New Puppy is Terrible at Time Management

This past week, we were adopted by a puppy named Molly, (who many of you saw on Facebook.) As with tiny humans, tiny dogs consume a good deal of your time and energy. In the past seven days, I have discovered that the new addition to our family is terrible at time management. I tried to explain to her that since her mommy is a time management speaker, this behavior would have to change immediately, but so far I’ve only received tail-wags and face-licks in response. I take this to mean she is deeply considering my suggestions. Allow me to explain what I’ve observed…

3 Reasons Molly is Terrible at Time Management

1) She is Easily Distracted

Molly was not potty trained, so I have taken on that endeavor this week. She goes outside with one mission: pee on the grass. When we leave the house, she is goal-oriented and focused. She prances proudly to the side yard, with purpose and determination. Then the neighbor’s dog barks…and she sees a leaf on the ground…and a bird flies by. Pretty soon, all sense of her original goal is gone and I’m left to stand outside for 20 minutes in the hot Arizona sun.  When we allow ourselves to be distracted, moving haphazardly from one task to the next, our work takes longer. We must approach our tasks with laser-like focus, tuning out distractions until we are finished. Short bursts of focused work are more effective than long stretches of unfocused work.

2) She Doesn’t Plan Ahead

Molly refuses to eat when I put her bowl down at dinnertime, but then whines during the night when she’s hungry. I tried to calmly explain to her that 6pm is dinnertime and 10pm is sleeping time, but sadly, they don’t seem to make calendars for puppies. We are all guilty of putting off tasks we don’t want to do. We become very skilled at rationalizing our procrastination, but that only worsens the problem. Don’t let yourself continually put off tasks, and then whine when you’re stressed right before the deadline.

3) She Panics in New Situations

The first night I put Molly in her crate, you’d think I had put her in mortal danger. She flailed about, barking and crying for hours. Her circumstance was clearly not changing any time soon, but she continued to expend her energy complaining about it. This blatant waste of energy upsets me. When we’re faced with new situations, or a sudden change of circumstance, we must keep calm and adapt quickly.  To do anything else is a waste of our time. We are the most productive when we can keep a cool head in stressful situations.

Molly will get better at all of these things because she has humans training her, however, we will only get better at time management if we train ourselves to form good habits.
