How I Plan to Get More Sleep This Week

I usually fall asleep reading…on my phone…OK fine I’m checking emails…and by “emails” I mean I’m scrolling through Facebook and writing comments in my head to the ridiculous things I’m reading that I would never actually post. This week I read an article that made me want to change my behavior.

Never Enough Time To Sleep

This month’s USC Trojan Family Magazine had a fascinating cover story about sleep. The researchers pointed out that very few of us get the 7-9 hours of recommended sleep. I’m guilty of that too. I tell myself there is just “too much to do” but that’s an excuse I make for myself.

I spent 40 minutes browsing around on my phone last night before I decided to go to sleep. That’s more than 4 hours of missed sleep over the course of a week.

How it Affects Us

The article goes on to point out how our diminished hours of sleep affect us, including depression, health problems, and the fact that a staggering 1 in 5 serious car crashes are related to inadequate sleep.

In addition, the article cites another study which found teens who read a printed book before bed slept better and awoke more rested than those who read on a tablet before bed. Interesting. So here it what I take from all of this.

My New Sleep Plan

I complain about two things: I don’t have enough time to sleep and I don’t have enough time to read. This week, I’m going to solve both of those problems by making my bed a digital-free-zone. I’m going to sleep earlier and if I can’t fall asleep I’m going to pull out a book…like…one with pages…and read. Wish me luck!

Large Tasks and Small Tasks

Large tasks can always be broken down into smaller pieces. When you see a big task on your list, your first thought is, “Oh goodness, that will take forever. I’ll have to do that later.” But when you see a small task, it’s easier to think, “I can easily knock that out in 10 minutes or so.”

My Decal Dilemma

My sister in law gave my daughter some adorable Monkey decals to put up in her room. They are really cute, but come in about 100 small separate stickers that need to be put together on the wall to make the desired scene. (And they are in no particular order on the sticker sheet. Of course not. Why would they be.)

After a long day of work, the last thing in the world I want to do is spend a few hours sorting through all these stickers and applying them to our textured wall, which is definitely NOT sticker friendly. So this big task kept being added to the “later” pile.

One at a Time

Finally, this week, I decided the decals needed to happen…one sticker at a time. Every time I walked into her room, I placed one or two decals on the wall. It took about 30 seconds. It became sort of a game. Over the course of the whole week I watched the scene grow until FINALLY, yesterday, I put the last sticker on the wall.

As I stood back and admired my work, I was reminded that I can replicate this process with other tasks in my life.

How are books written? One page at a time.

How are presentations put together? One slide at a time.

My 3 College Time Management Regrets

Time management for college studentsOver the next few weeks, thousands of young adults will embark on one of the most difficult time management challenges of their lives thus far…college. When adults look back on their college experiences, we tend to remember all of the fun, crazy times instead of how insanely difficult it was to adjust to being completely in control of our own schedule for the first time in our lives. It’s difficult. Looking back, I wish I’d realized three things sooner. Please do your favorite college student a favor and share this advice!

1. Remember you’re there to learn, not to get a grade

I didn’t figure this out until my third year of undergrad. My first year, I was focused on figuring out the least possible work I could do to get the best possible grade. I thought I was being efficient with my time…but I wasn’t retaining much information. When I stopped working for a grade and instead focused on learning, my studying time actually decreased. I found myself paying closer attention in class, so reviewing for tests was much easier and faster.

2. Give up on group studying

Study groups weren’t a good use of my time…but I continued to spend hours studying this way because that’s what everyone else was doing. If studying in a group works for you, great! Do that! But if it doesn’t, don’t feel that you need to say “Yes” to every study invitation just to be polite. Protect your time, study in a way that works for you, and then use the non-study time for socializing.

3. Try something different

If I regret one thing in college, it’s the fact that I didn’t sign up for the Ultimate Frisbee team. That might sound like a silly thing to regret, but it’s the only time I even remotely considered being involved in some sort of athletic team. Back then, I thought I “didn’t have time,” but now, I really don’t have time and I wish I had taken the opportunity to try something different when I had the chance. There are hundreds of ways to be involved in college, and nobody has time to try everything, but picking one thing to try that’s outside of your comfort zone is worthy of your time investment.

How To Live in The Moment

Time Management in the momentLet me start by saying I find the title of this blog to be extremely obnoxious. We talk about “living in the moment” as though there is some magical state of being in which we soak every ounce of meaning and appreciation out of each minute of each day.

Big announcement – my husband and I are expecting our first child in June. When people find out, they always offer a hearty congratulations followed by something to the effect of  “Better enjoy that sleep while you can!” or “Appreciate every moment! It won’t last.

While I enjoy the sentiment and I don’t doubt its truthfulness, the pressure to “appreciate harder!” during this pregnancy is getting a little insane.

Needless to say, I’ve given a lot of thought recently to “living in the moment” and have found these three tips to be helpful:

1. Engage Fully

We feel so pressured to do multiple tasks at a time, but I’ve found that fully engaging with whatever it is I’m doing has helped me appreciate the “little things.” For example, when you sit down to eat lunch, don’t feel the need to be also scrolling through your email or catching up on the news. It’s been helpful for me to devote my whole self to doing an enjoyable or relaxing task for a shorter period of time than to try to split my attention.

2. Avoid the Count Down

Do you ever feel like you live from one big milestone to the next? I began feeling like I was living from one countdown to another. “I just have to get through the holidays” then “I just have to get through to the Spring” etc…When we get into this linear way of thinking, we forget to look around and enjoy what’s happening now. One of my favorite quotes is “Life’s not about waiting for the storm to pass, it’s about learning to dance in the rain” and I try to think about that daily.

3. Practice Daily Reflection

I’ve tried to devote a minute or two before I go to bed to thinking through the events of the day. Not by re-hashing the problems that occurred, or second-guessing my actions and decisions, but by finding the happiness and the joy in what happened. It’s hard, and sometimes I don’t want to find the time to make happen, but it’s worth it in the end.

Finally, let’s not put so much pressure on ourselves to live each and every moment to the fullest. Once I stepped back and stopped trying to “appreciate harder,” I was free to enjoy the small things while looking forward to all the new experiences still to come.

Which Type of Procrastinator Are You?

They find it difficult to stay motivated until the last possible second so they put off their work until the deadline is looming. Then, they work like crazy, forsaking sleep, food, family time, etc…promising themselves they will never do it again.

The Solution

One reason people thrive under pressure is it becomes easier to tune out distractions during crunch time. Are you more likely to check your email and glance at Facebook when you’re working on an urgent deadline or non-urgent one? Exactly. Remove distracting Time Killers so they don’t tempt you. Rationalizers are experts at convincing themselves that their work doesn’t have to be done right now. They will find excuses, make bargains with themselves, or downplay the importance of a deadline.

Excuses are harder to make when your goals are staring you in the face. Why are you working so hard? Who inspires you? What are you trying to achieve? Make sure the answers to those questions are top of mind when you’re working. Post your goals near your workplace. Seek out people you admire and constantly remind yourself of the important motivators that drive you.

Sometimes we have tasks that are so monstrous, it seems we never have time to start them. When we see the task on our to-do list we skip right past it, hoping it will just go away if we don’t look at it – the time management equivalent of burying your head in the sand.

The Solution

Break a large task into tiny chunks and write those chunks down on your to-do list. Don’t even write the big task at all. It’s too intimidating. Then rejoice in the satisfaction of crossing those little chunks off one by one. This helps accomplish large tasks in 20 or 30 minute time periods since realistically, you can’t always devote a whole day to accomplishing a huge task.

Finishing Unwanted Tasks

This week, I had a presentation to prepare for my PhD program that definitely tested my time management. Completing this presentation was both the most important and least appealing thing on my “Choose-To List.” As you know, that is a common and dangerous situation. What do you do when the task you least want to do is the task you most need to do?

Stop Substituting

When faced with a task we don’t want to do, our first inclination is to just do something else instead. I caught myself doing that yesterday. I didn’t want to work on my presentation, so instead I did some grading, cleaned my house, worked on some different homework, and went grocery shopping. All of those things also needed to be completed, however, none were as important as my presentation. I substituted tasks I should be doing with tasks I’d rather be doing. That’s why at the end of the day, I didn’t feel as productive as I could have.

Make it Enjoyable

Sometimes we need to go out of our way to make a dreaded task more enjoyable. You all know about my love of Starbucks. I went out and bought myself a Salted Caramel Mocha Frappuccino to sip while I’m working on my presentation. Nothing seems quite as terrible when you have a delicious cup of happiness next to you!

Visualize

The single best way I know to motivate myself to do something it to visualize it being completed. In this case, I visualized myself crawling into bed at night and thinking, “Wow, I don’t have to worry about the presentation anymore! It’s all finished.” It’s not going to become any more appealing to work on, so I might as well just finish it now and be done with it. Half the stress of finishing work comes from worrying about finishing it. I was going to worry about my presentation until it was done. The sooner I finish it, the sooner I can stop worrying about it and my stress level decreases.

This week, take charge of your unwanted tasks.  Visualize them being finished, do everything you can to make them more enjoyable and stop substituting them with other, less important things. Your productivity will thank you.

Time Management Lessons from College Football

In the fall, the desire to watch college football all day long on Saturday really challenges my time management. Sitting in front of the TV, sporting my jersey and eating hot wings sounds so much more appealing than grading projects for class. However, yesterday I realized that we can actually learn a lot about time management by watching college football.

4 Time Management Lessons on the Football Field

1. Don’t Risk a “Delay of Game”
It may be tempting to wait until the last second to run a play, but if you wait too long, you’ll be charged a 5-yard “delay of game” penalty. With our work, we may have our reasons to procrastinate, but is it worth the risks if our deadline’s “play clock” runs out?

2. Play All Four Quarters
How many games have you watched where the team looks great in either the first or fourth quarter, but ends up losing because they played poorly the rest of the game? The same is true for our work. We need to spread out our energy. Push too hard in the beginning and you’ll burn out. Save it all for the end and it’ll be too little too late. Pace yourself, find your rhythm and ride that momentum in for the win.

3. You Can’t Always Wait for Perfection
If the quarterback doesn’t immediately see an open receiver, he has to quickly make the decision to either run the ball or throw it away, lest he get sacked behind the line of scrimmage waiting for the perfect pass to open up. When we are working, there comes a point when trying for perfection becomes a waste of time. If you consistently miss deadlines for your boss because you were striving for an unattainable level of perfection, you may find yourself being “sacked” as well!

4. Make Time for Motivation
Do you think football coaches spend every single second they have with their team running plays? Of course not. Coaches recognize that their players need inspiration and make team building and motivation part of the locker room experience on game day. Make time for your own motivation. Take time to connect with your “team.” It will make your work time infinitely more enjoyable and productive.

How to Read Fast

As a grad student and a teacher, I have a lot of reading to do in any given week. Part of having great time management skills is learning to do things efficiently, so knowing how to read fast is essential.

I love reading for fun. I love curling up on the couch with a good book and savoring every word as it floats through my mind. Unfortunately, we can’t read like this when we have vast amounts of material to get through before a deadline. We have to alter our approach to get through the most information in the least amount of time.

3 Strategies for Reading Efficiently

1) Not Every Word is Important
I’m not suggesting that you sloppily skim over the pages; you just need to quickly filter out what information you need and what you don’t. Think of yourself as a detective looking for important ideas and phrases. Do not get caught up in words and sentences that don’t matter.

2) Read with a Pen
Reading with a pen is far better than reading with a highlighter. When you mark something with a highlighter, all you can do is mark something as “important” but you aren’t able to write why. A pen enables you to jot quick notes to yourself, which keeps you more engaged in whatever you’re reading.

3) Do not Read Where you Sleep
I’m all for being comfortable when you read, but if you take work home with you, don’t take it to bed. You’re far more likely to nod off, lose your focus and have to end up re-reading it anyway. Besides, you should be able to keep at least one area of your home a work-free-zone.

The Productivity Solution Everyone Needs to Try

What is the best way to improve your productivity? We know that it’s important to remove distractions and Time Killers, plan your work in a calendar, stop procrastinating, etc… But what if you are doing all of that already? What next? Solution: Try changing the way you work. I looked for ways to change my work this summer and ended up finding a free program called Zotero that saved me hours of time.

People get stuck in a productivity rut when they get in a habit of doing their work a certain way and never stop to think if there is a better or more efficient way. If you are not constantly re-evaluating how your work processes could be better, you could be wasting loads of time.

Here are three ways to make sure you don’t get stuck in a bad productivity habit:

1) Be Aware of Changing Circumstances:Just because a process worked last year doesn’t mean it’s the most efficient way to do things this year! Circumstances change.

2) Don’t Work in a Vacuum: You don’t have to figure everything out by yourself. Talk to people in your industry. What resources do they use to get work done efficiently?

3) Be Open to New Methods: Sometimes, a better work solution is staring us right in the face but we don’t want to use it because, “That’s not the way we do things.” Be open to new ways of doing things, whether it is a new technology, new process or new idea.

How Changing My Process Saved me Hours

I was guilty of a bad productivity habit for the past year until I used the summer as a chance to re-evaluate the way I do academic work. In my master’s program, I frequently wrote papers and had my process pretty much down to a science. Now, in my PhD program, I also write papers frequently but they are much more research-based than before.

My circumstances had changed, but my process remained the same.

I was having a difficult time managing all of my research sources and citing them correctly in my paper. I asked one of my friends in my doctoral program how she handles it all. (Remember, don’t work in a vacuum!) She said, “Oh my goodness, I don’t do that all by hand! There are programs that manage all your sources for you.”

My first reaction was, “I like to do things by hand. That’s how I do things.” Besides, those programs were probably expensive and difficult to use. Then I realized that wasn’t being open to new methods.

I did a little digging on Google and found a great program called Zotero that is not only free, but easy to use. I no longer have to type all of my sources into my bibliography or try to sort them all by topic on note cards. The program does all of that for me. I have now saved myself hours of formatting work.

This week: I urge you to re-evaluate how you work. Once you open your mind to new ideas and methods, you may find yourself wondering how you ever worked “the old way.”

My Facebook Challenge

This summer, a time management battle of epic proportions is being fought on a quiet little street in Phoenix Arizona. The stand off is between my productivity and my most addictive Time Killer: Facebook.

During the school year, I have a fairly healthy relationship with my Time Killers. I am able to focus on my work for a good chunk of time and then take a break to check my email, grab a snack and check out what’s going on in Facebook Land.

Now that summer is here, I’m having an extremely difficult time not letting my social network distract me. Whereas normally I could easily sit down at my computer for an hour of focused work, I now find myself checking Facebook every 5 minutes. The constant interruption of focus is starting to really annoy me and I know it’s affecting my productivity.

I have a theory as to why my ability to be distracted has suddenly surged. During the school year, I spend the first 8 hours of my day surrounded by people at work. I also spend about 6 hours a week surrounded by my ASU classmates. Now, in the summer, I spend most of my day working in my home office…by myself. I know that my summer Facebook addiction is due to my craving of social interaction!

A Week Without Facebook

To win my Time Killer battle, I am going to go without Facebook for the next week. I will not check it on my phone, I will not have it open on my computer and I won’t even ask my husband to update my status for me. (“Emily is really missing Facebook right now…”) All “Desserts” are fine in moderation, but I have let this Time Killer have too much power. My challenge this week is to give Facebook a break and find another way to find some social interaction without constantly interrupting my work.
